Invite users to a client portal

Add stakeholders to the portal with role-based permissions (decision-maker, viewer, billing-only).

The first portal invite goes to the primary contact. After that, add other stakeholders as needed.

Add a user

  1. Open the client portal page → "Users" tab.
  2. Click "Invite user" — pick from existing contacts or add a new one.
  3. Set their portal role: Admin (full access including billing), Editor (can approve milestones), Viewer (read-only), Billing-only (sees invoices but not projects/files).
  4. Click "Send invite". They receive a magic link to set up their password.

Portal roles in detail

  • Admin: sees and acts on everything. Use sparingly — most clients only need one Admin.
  • Editor: can approve milestones, sign contracts (when designated), comment on projects.
  • Viewer: read-only access. Use for board members, observers, executive sponsors.
  • Billing-only: sees and pays invoices but not delivery work. Use for finance contacts who don't want noise from project updates.

Removing users

When someone leaves the client's team, remove their portal access immediately. Their account is deactivated but their action history remains in the audit log.

Tips

  • Use Billing-only for finance/accounts-payable contacts. Saves them from project notifications they don't care about.
  • Review portal users quarterly. Stale users with abandoned accounts are a security risk.
