Most contact links happen automatically. When manual fixes are needed, here's how.
Auto-linking
OMB Cloud links a contact to any record that references their email or phone: webform submissions, AI agent conversations, incoming Email Hub messages, invoices addressed to them, contracts they sign. The contact's timeline shows everything chronologically.
Manual linking
Sometimes a record was created before the contact existed (e.g., an invoice was issued to a company before a primary contact was captured). To link: open the invoice → "Link contact" → search and select.
Re-link mis-attributed records
If an AI agent linked a conversation to the wrong contact (e.g., two people with the same name), open the conversation → "Reassign contact" → pick the correct record.
The "primary contact" of a company
Each company can designate one contact as the primary. Invoices and contracts default to addressing the primary unless you override per-record.
Tips
- Keep one contact per person, not per role. A contact who becomes CFO from their VP Finance role is still the same contact — just update their role.
- If a contact represents multiple companies (consultant, fractional CFO), keep one record and use the "Affiliations" tab to track multi-company relationships.
