Troubleshooting: leads not appearing in the CRM

When new leads from forms or webchat don't show up — three things to check.

New leads aren't showing up in your CRM? Walk through these three checks in order.

Check 1: tenant scope

If you're a super admin impersonating another tenant, the leads you create from a webform on tenant A won't show up when impersonating tenant B. Confirm the impersonation banner at the top of the screen — if you see "Viewing as: Acme Corp," the leads belong to Acme Corp's scope. Switch back to your real tenant.

Check 2: owner filter

The CRM list view defaults to "My leads only." If a lead was created by an AI agent or another team member, you might not see it. Switch the owner filter to "All" at the top of the list. If the lead now appears, assign yourself or your team to make it visible by default.

Check 3: automation rules

An automation might be routing the lead somewhere unexpected. Go to /app/automations and check for any rule that filters on the lead's source, country or score and moves it to a different pipeline or owner. Disable the rule temporarily to confirm.

Still missing?

Search the lead by email in the global search bar (top of the dashboard). If it appears, the lead exists but is filtered out of the current view. If not, the lead was never created — check the webform submission log under /app/widgets/webforms for errors.

Tips

  • Always check tenant scope first — 80% of "missing leads" tickets are super-admin impersonation confusion.
  • The CRM keeps a deduplication log: when a lead is auto-merged with an existing contact, the activity feed shows it.
