Merge duplicate contacts

When the same person exists under multiple emails or spelling variants, consolidate without losing activity history.

Duplicate contacts happen when the same person fills a webform with a personal Gmail, then later corresponds from their work address — without OMB Cloud knowing both are the same human.

Find duplicates

From /app/contacts, click "Find duplicates". The system surfaces candidates grouped by: same email (rare — usually caught at creation), name + company match, phone match, LinkedIn URL match.

Merge two contacts

  1. Open the candidate pair.
  2. Pick the survivor (usually the one with more activity history).
  3. Resolve field conflicts: which email is primary, which phone wins, which LinkedIn.
  4. The loser's secondary emails/phones get added as aliases to the survivor.
  5. Confirm. All leads, invoices, conversations and activities reassign to the survivor.

What aliases enable

After merge, an inbound email from the loser's email still finds the survivor record. No bouncing between split histories.

Tips

  • For prolific dupes (e.g., a marketer who tagged the same lead 3 times under variant emails), select the oldest as survivor — its lead and conversation history is usually most complete.
  • Bulk-merge is available but only after manual review of 5-10 candidates confirms accuracy.
